When your booking comes through to our system the Whakatū Marae (WM) Kaiawhina will:
Download details and seek availability
Contact your group/person if further details or clarification is needed
Organises a quote and emails/sends to your group/person
If you are happy with your booking an invoice for your booking fee will be sent to you immediately, this will require payment within seven days of finalising your booking details, to secure your date. Payment for the remainder of your hui booking is required at least seven days prior to your booked date.
While we are more than happy to help adapt your booking to meet your needs, changing hui details is time consuming, more than two changes made to your booking, will incur an administration fee of $25.00 per change.
On a groups’ arrival: Where the booking is outside of working hours, other arrangements can be made to accommodate this. Please do mention if this is the case with your booking dates
Powhiri ritual:
A nominated person will come to WM office to talk with Kaiawhina/Kaitiaki :Monday-Friday between 9.00am-5.00pm. This can take place a day before :Any last-minute questions and/or details can be discussed
When indicated on booking forms, a formal Powhiri is prepared to begin your stay here. Please refer to our website for specifics of Powhiri ritual as applies to Whakatū Marae.
During a groups/persons stay:
An INCIDENT book: is situated in the Wharekai/Mauriora. In cases of physical incidents specific to facilities, equipment, grounds cutlery and for health/medical incidents specific to your stay while here at Whakatū Marae please log accurate accounts in this book.
A Visitors book is situated in the Wharekai/Mauriora. We enjoy reading your comments and receiving positive feedback as to how we may continue or improve the service we provide.

Poroporoaki ritual:
The (Iwi e ono) of Whakatū Marae will attend poroporoaki to appropriately farewell groups/persons.
On a groups’ departure: As required, our Kaitiaki will come and walk through the facilities/grounds and discuss any issues that require dialogue or addressing before departure.
Once a group/person has departed:
Kaitiaki will read the incident & visitors books for any situations that may require further attention.
An inspection will also be conducted to ensure facilities etc are left in an appropriate state & manner.
